Notice of Annual General Meeting Wed, Jun 5, 2019

Dear NCRA/ANREC members,

On behalf of the NCRA/ANREC board of directors I would like to invite you to attend the 2019 Annual General Meeting, to be held on Wed, June 5, from 1:00 pm to 3:30pm at Ryerson University (room to be announced) as well as online using the AGMeeting app.

AGM: What is it?
At our AGM NCRA/ANREC member stations come together in person and online to complete the association’s annual business. This includes receiving a financial update, board, staff, and committee reports, approving our budget/audit and auditor for 2019, electing a new board of directors, and approving the location future conferences.

AGM Materials:
We intend to send the AGM agenda and most reports to members by Thurs, May 30. The 2018-2019 Financial Statements will be delayed as they must be discussed at the board meeting on June 3rd, but will will send these out immediately after.

AGM Participation:
In order to vote at the AGM, stations must:

Be members in good standing. This means that they must have paid their membership dues, or at least paid a deposit on those dues. All payments must be received by 5 pm PST on May 29th 2019 or your station will not be in good standing for the purposes of the AGM. The NCRA/ANREC membership year runs from April 1-March 31. If you aren't sure about your current standing, please contact barry@ncra.ca.

Have registered and authorized a member representative. This person will be authorized to vote on behalf of your station. Please register as soon as possible. After you have registered, you will receive an email describing how to login to your station’s AGMeeting account.

HAVE A LAPTOP, SMARTPHONE or TABLET to participate, whether in-person or remotely. All votes will take place online.

Board Nominations:
Our board nominations subcommittee is: Equity Officer Francella Fiallos (CJLO-AM), Board President Katie Sage (CFUV-FM), and Director Adam Glynn (CJNU-FM). Anyone with questions about serving on the board should contact the committee at nominations-com@ncra.ca

The subcommittee encourages member stations to nominate Indigenous, People of Colour, Queer, and Gender non-conforming folks to run for the board. NCRA/ANREC members serve an audience recognized as diverse in ethnicity, culture, gender, sexual orientation, age, and physical and mental ability, and the NCRA/ANREC board of directors should reflect this diversity.

We also remind members about three very important aspects of our bylaws:

That a director be selected as an Indigenous Representative from the First Nations, Métis and Inuit peoples of Canada. This seat is currently vacant and must be filled at our annual general meeting.

That at least four of the six regions of Canada should be represented on the board. The six regions are the Pacific (British Columbia); the North (Northwest and Yukon Territories, and Nunavut); the Prairies (Alberta, Manitoba and Saskatchewan); Ontario; Quebec; and the Atlantic (New Brunswick, Newfoundland, Nova Scotia, and Prince Edward Island). There are returning board members from Ontario, Quebec, Prairies & the Pacific, so this requirement has already been met. Returning board members include Adam Glynn (CJNU-FM) Winnipeg, MB, Dinah Jansen (CFRC-FM) Kingston, On, Madeline Taylor (CiTR-FM) Vancouver, BC, Juanita Muwanga (CJRU-AM) Toronto, On, and Catherine Fisher (CJLY-FM) Nelson, BC.

That the members shall elect no less than fifty percent women to the board

The board nomination form is attached to this email and will be sent out again with the meeting materials. Nominations will be accepted up to June 2nd, 2019 at 5pm Pacific and can be sent to the board secretary, Catherine Fisher at secretary@ncra.ca.

Future Conferences
NCRC 2020 will be co-organized with CJUC-FM and held in Whitehorse, YK.

Members will vote on a 2021 conference host at this year’s AGM. If your station would like to host the conference please check out this document or call staff for more information. Your station must submit an expression of interest to the NCRA/ANREC Executive Director Barry Rooke (barry@ncra.ca) by May 15th, 2019 and staff will work with you to make sure your application meets the requirements of hosting the conference before presenting it to membership.
